Get Your Admin in Shape Before the Festive Period

With Bonfire night out the way its going to be Christmas overload wherever you go, shops, tv, discussions with your network you cant hide unless you shut yourself away. For businesses its often a time to feel excitement but also a sense of urgency for completing in time for the Christmas closures. Whilst yes you are busy, its also a good time to get your admin ducks in a row so you can enjoy the magic of Christmas without the rush. If I haven’t brought the image of the McCalister family waking up later and rushing to get to their flight, then I now have and you are welcome! As a Virtual Assistant, I’m here to share some of my tips for organizing your admin tasks, so you can stay ahead of the rush and close out the year on a high.

Here’s a guide to streamline your admin and prepare your business for the festive season.

1. Audit Current Tasks and Organize

Start by evaluating your current workload. We all have a long to-do list and it doubles when December arrives. To take some of the overwhelm away, dive into your task list and categorize them based on priority:

Must-Do: High-priority tasks that need immediate attention or completion before the holidays.

Nice-to-Have: Secondary tasks that can be completed if time allows.

To-Delegate: Tasks that can be passed on to a team member or a VA.

Using a task manager (such as Asana, Trello, or ClickUp) helps keep everything visible, allowing you to prioritize with ease. Also helps for planning the next festive period if you reuse it!

2. Set Boundaries for Holiday Availability

How’s your December calendar currently looking? Is it filling up with events and deadlines, before you start to panic follow this tip to bring it under control. Be clear about your holiday availability for clients, friends, family and anyone else who wants some of your time. Here’s how to plan it:

Establish a Holiday Schedule: Decide which dates you’ll be fully offline or working reduced hours.

Notify Everyone: Send an email or message to let people know your availability, ideally a couple of weeks in advance.

Set Up Out-of-Office Replies: Prepare autoresponders for emails, phone, and other messaging platforms to inform people of your holiday hours and set expectations on response times.

This ensures that everyone is on the same page, reducing stress and last-minute requests.

Remember to stick to it, no slipping in an extra meeting or deadline. Everyone was told your dates and that’s final!

3. Automate and Streamline Where Possible

Have a VA on hand to take some tasks so you can free up your time, or if its not possible why not look at automations. Top tip do this before December to avoid the panic!

Automations can help save time by completing repetitive tasks in the background, so you can focus on more critical priorities. These are a few you can look at implementing:

Email Filters and Templates: Use filters to manage incoming emails and set up templates for common responses. All systems allow this so if you regularly send the same email out with a minor tweak, save it as a template for later.

Invoicing and Payment Reminders: Automate invoices and payment reminders using tools like QuickBooks, Xero, or your accounting software to avoid missed payments during the holidays. Having a system to remind people about paying helps save time on drafting an email and feeling awkward.

Social Media Scheduling: Schedule posts in advance with tools like Meta, Canva, or Later, so your social presence stays active even when you’re off. Or if your not a fan have them handy for quick posting but remember that takes up some time so choose which option suits your business and admin style.

With these tasks automated, you can sit back and relax, knowing the essentials are covered.

4. Back Up Files and Organize Digital Storage

We have all been there trying to find a document, in that super safe place. But time is money in business, so why make things harder for yourself? Another job before you get busy, schedule in some time to tidy up your digital workspace by:

Clear Out Old Files: Archive or delete outdated documents, making room for the next year’s records. Just ensure you follow your GDPR rules for how long you hold documents.

Organize by Folders: Set up folder structures that suits you and use consistent naming for easy access.

Back-Up Everything: Ensure everything is safely backed up to the cloud or a secure external storage device. A job that should be on everyone’s regular housekeeping tasks!

5. Prepare Financials for Year-End

Do you have your Accountant breathing down your neck? The end of the year brings a flurry of financial activity, including taxes, invoices, and reconciliations. To make sure you don’t have a grumpy Accountant, make sure you give them all they need way before Christmas.  Here are some jobs to make sure you have in hand before Christmas:

Reconciling Accounts: Make sure your accounts are up-to-date to avoid year-end surprises.

Setting Reminders for Invoices: Ensure that clients are invoiced on time for smooth cash flow over the holidays.

Budgeting for January: Factor in any slow periods in January and set aside enough to cover expenses.

The more financial organization you achieve now, the smoother your start to the new year.

6. Set Realistic Goals for the New Year

Have you done all the above? Well done if you have, let the Christmas party begin. If you haven’t don’t worry you got this!

When you do have time this is the perfect time to plan for the year ahead, here are a few points to consider:

Reflect on Past Wins and Challenges: Take note of what worked well and areas for improvement. Whilst this isn’t a talk down, you need to be honest with yourself and decide what lessons you learnt this year.

Set Clear, Attainable Goals: Aim for growth targets that are challenging yet realistic. You know exactly what I mean with those, unless your dodgy like Wolf on Wall Street, aim to higher but not impossible!

Review Your Systems: Look at the tools, processes, and habits you use and consider any upgrades for greater efficiency. Did you read any development books, or attend talks with ideas you could implement into your work, now would be the time to start planning.

7. Delegate to a Virtual Assistant

You knew it was coming, but I thought slipping it in for the end was perfect! A VA can be like Mary Poppins to your business, if you choose to outsource. From managing emails to handling customer service and so much more, a VA can help ensure you end the year organized and prepared for whatever comes next.
