10 Essential Tips to Reclaim Your Routine After Summer Break

As summer draws to a close and the kids prepare to head back to school, many parents find themselves facing a mix of emotions. I know I am, as my son will be starting nursery in September instead of going to a childminder, but I know he’s ready now and I’m ready for an extra day’s work. So, whilst many parents are ready for some quiet time again, it can also be overwhelming to re-establish a routine and tackle the mountain of administrative tasks that have been put on hold during the summer months. If you’re feeling a bit rusty with your admin duties, here are a few tips to help you get back on track without wanting to run for the hills.

1. Start with a Fresh To-Do List

Before diving into your admin tasks, grab a fresh cup of your favourite beverage (although I wouldn’t recommend alcohol) and take a moment to create a fresh to-do list. Reflect on what’s been piling up over the summer—unanswered emails, pending paperwork, or invoices that need processing. Write down everything that needs attention, no matter how small. A comprehensive list will give you a clear picture of what needs to be tackled and help you prioritize your tasks.

2. Set Clear Priorities

With your to-do list in hand and another cuppa, it’s time to set priorities. Consider what’s urgent and what’s important this can include both personal and business if you find it easier to merge the two. For instance, tasks like renewing your child’s school bus pass be time-sensitive, whereas reorganizing your office space is important but not urgent. Rank your tasks accordingly and focus on completing the high-priority ones first.

3. Create a Weekly Schedule

One of the best ways to get back into a routine is to establish a weekly schedule. Allocate specific times for your admin tasks, whether it’s an hour each morning before work or a block of time in the evening when the kids are in bed. Consistency is key and by doing admin during your allocated slot, you will gradually ease back into the habit and prevent tasks from piling up again. Whether it’s updating your finances, social media planning, or doing some project filing having these tasks booked in will free up your time for paid work.

4. Embrace Digital Tools

If you’re still managing your admin with sticky notes and paper lists, now might be the perfect time to explore digital tools. Don’t get me wrong, I still love to write things down and crossing them off with a pen, but digital tools play a major part in my work. There are plenty of apps and software designed to help make work easier. For example, tools like Trello for task management, Google Calendar for scheduling, and Notion for note-taking can streamline your admin processes and make it easier to stay on top of everything. Also, they work well between devices so you can always add to it if you’re on the go.

5. Declutter Your Workspace

Who doesn’t love a clean workspace, I find cleaning can help declutter my thoughts making it easier to organise my tasks. Take a few minutes to clear off your desk, organize your paperwork, and create a tidy environment that fosters productivity. Not only does a bit of cleaning help get you moving, but can improve productivity as you are focused on getting work done.

6. Delegate Where Possible

You don’t have to do everything yourself. I won’t lie this is where I will shamelessly promote my services, as a Virtual Assistant as getting organised is something I love to do. The beauty of delegating tasks frees up your time to focus on more critical responsibilities and can alleviate some of the stress that comes with managing a busy household and workload. I already have in mind what I will be outsourcing for my business and personal tasks, so even a VA will delegate.

7. Incorporate Breaks

It’s tempting to power through your admin tasks, especially when you have a long list to tackle, but don’t forget to take breaks. Short breaks can boost your productivity by giving your mind a chance to recharge, so go let the dog out and put the kettle on. Consider using the Pomodoro Technique—work for 25 minutes, then take a 5-minute break. This method can help you maintain focus and prevent burnout, I have been using mine to do some chores like tidying up or sorting the washing. I know it’s not living the high life but moving my body and not staring at a computer helps.

8. Review and Adjust

As we move further into September and the kids are settled back at school, take time to review your progress. Are you keeping up with your admin tasks? Is your weekly schedule working for you? If not, don’t be afraid to adjust your routine. Flexibility is essential to finding a system that works best for you. You find yourself more creative in the morning so social media posts should be created then, but it’s all about how you work best.

9. Celebrate Small Wins

Getting back into a routine can be challenging, so be sure to celebrate your progress along the way. Whether it’s finishing a particularly daunting task or simply keeping up with your daily schedule, acknowledge your achievements. I like to blast my favourite songs to celebrate, and the odd dance party breaks out with my toddler.

10. Plan for the Future

Finally, as you settle back into your routine, start thinking ahead. Are there any upcoming events or deadlines you need to prepare for? Planning will help you stay organized and avoid last-minute scrambles. We all know it’s coming, but Christmas is on the way so do you need to plan work around it or even start organizing the family Christmas get-together?

Getting back into a routine with your admin duties as the kids go back to school doesn’t have to be a daunting task. By taking a strategic approach and using the tips above, you can smoothly transition back into your routine, leaving you more time to enjoy the quieter moments of the new school year.
